Records Management for Microsoft Office
Autonomy Records Management extends the user's most pervasive and familiar environment, Microsoft Office System to enable users to meet all the current and emerging records management standards. As an organization examines what it needs to meet its Governance obligations of compliance to regulations, avoidance of litigation and continual process improvements, it looks to the applications that create the greatest impact, the Microsoft Office Suite. Users get their email in Microsoft Office, create business documents in Microsoft Word, Microsoft Excel and Microsoft PowerPoint and collaborate with Microsoft Office SharePoint Server (MOSS). Therefore, it is critical to make enterprise Records Management easily accessible inside of these familiar end-user applications. Autonomy Records Management has been designed to integrate transparently with Microsoft Office to enable organizations to build on their Microsoft investment and ease their corporate compliance efforts across the enterprise. Autonomy was specifically designed to meet the requirements of DOD 5015.2 which has become a de-facto standard for both government and commercial compliance officers in the U.S. Additionally, Autonomy is certified to DOD 5015.2 as a paired solution with Microsoft SharePoint Portal Server 2007. Autonomy Records Management integrates transparently with the MOSS 2007 Records Center and Policy interfaces, making the user experience completely seamless. Through this integration it is possible declare records from MOSS content in a "single click". Autonomy provides the functionality to declare records through the SharePoint interface, access to the Autonomy Fileplan from SharePoint web parts, and integrated searching across multiple repositories. Policy integration makes it possible to link Team Sites to the Autonomy Fileplan such that records can be declared from SharePoint in a “single click”. Additionally, Autonomy can be chosen as the destination for the expiry function in MOSS, allowing documents and records to be migrated to Autonomy archives with no user intervention. Using the Smart Shortcut functionality a link to the item will still appear in the document library providing continuity to the user. Autonomy is integrated directly into Microsoft desktop tools, helping to ensure consistent compliance across the organization. By integrating with Desktop Applications, Autonomy captures records at the source, as part of an end –user’s normal business process. In Outlook, for instance, Autonomy delivers a full Records Management Desktop, allowing simple drag-and-drop to declare records in a Certified Records Management system. Autonomy provides full library services with secure check in, check out and versioning as well as Certified Records Management. Key benefits of the Autonomy solution include:
- Information Lifecycle Management out-of-the-box for items stored within SharePoint
- Extends policy features within MOSS
- Content is still directly accessible from source SharePoint document libraries
- Seamless end-user experience
- Manages the storage lifecycle of SharePoint content
- Supports multiple types of storage device, e.g. EMC Centera
